As an accounting and brokerage firm providing personalised financial services to businesses and individuals, we understand that we are entrusted with sensitive personal and financial information, and we take that responsibility seriously.
This Privacy Policy explains how we collect, use, store, share and protect your personal information, and the rights you have in relation to it. It is designed to comply with the Protection of Personal Information Act 4 of 2013 ("POPIA") and other applicable South African law.

4. Definitions
To help you understand this Policy, some key terms used in POPIA include:

Personal information – information relating to an identifiable, living natural person and, where applicable, an identifiable, existing juristic person (such as a company).

Business information: company registration details, information about directors and beneficial owners, and financial records.
We collect only the information that is adequate, relevant and not excessive for the purpose for which it is processed.
6. Special personal information
POPIA affords additional protection to certain categories of information, such as information about a person's religious or philosophical beliefs, race or ethnic origin, trade union membership, political persuasion, health or sex life, biometric information, or criminal behaviour. We do not ordinarily require special personal information. Where the services you request make it necessary – for example, health information in relation to certain insurance products, or biometric or criminal-record information for identity verification and FICA due diligence – we will process it only where POPIA permits, such as with your consent or where the law requires or authorises it.
7. How we collect your personal information
We collect personal information:

From third parties such as the South African Revenue Service (SARS), banks, credit bureaus, insurers and product providers, regulatory bodies and your authorised representatives, where relevant to the services.
8. Why we process your personal information
We process personal information for the following purposes:

9. Legal basis for processing
We process personal information on one or more of the bases permitted by POPIA: with your consent; because processing is necessary to conclude or perform a contract with you; because processing is necessary to comply with a legal obligation; to protect your legitimate interests; or for the pursuit of our legitimate interests or those of a third party to whom the information is supplied.
10. Sharing and disclosure of your information
We treat your personal information as confidential and we do not sell it. We may share it with:

Regulatory and government bodies – such as SARS, the Financial Sector Conduct Authority and the Financial Intelligence Centre – where required or permitted by law.

Banks, insurers and financial product providers, where necessary to deliver the services you have requested.

Our professional advisors, auditors and operators (service providers who process information on our behalf, such as IT, cloud-storage and software providers).

Other third parties where you have consented, or where disclosure is required or permitted by law.
Where we appoint operators to process personal information on our behalf, we require them to process it only on our instruction and to maintain appropriate security safeguards and confidentiality.
11. Cross-border transfers
Some of our service providers (for example, cloud-based software) may store or process personal information outside South Africa. Where we transfer personal information across borders, we will ensure the transfer complies with section 72 of POPIA – for example, that the recipient is subject to laws, binding corporate rules or agreements that provide an adequate level of protection.
12. Security safeguards
We take appropriate, reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access and unlawful processing. These measures include access controls, secure storage, confidentiality obligations on our staff, encryption where appropriate, and regular review of our security practices. In the event of a security compromise affecting your personal information, we will notify you and the Information Regulator as required by POPIA.
13. How long we keep your information
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Certain laws prescribe minimum retention periods – for example, FICA and tax legislation generally require records to be retained for at least five years, and in some cases longer. When information is no longer required, we securely destroy, delete or de-identify it.
14. Your rights as a data subject
Under POPIA you have the right to:

Request that we correct or delete personal information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or unlawfully obtained.

Withdraw your consent, where processing is based on consent (subject to legal or contractual restrictions).

Not be subject to a decision based solely on the automated processing of your information.

Lodge a complaint with the Information Regulator.
To exercise any of these rights, please contact our Information Officer. We may need to verify your identity before acting on a request. Requests for access to information are handled in accordance with the Promotion of Access to Information Act 2 of 2000 (PAIA) and our PAIA manual.
15. Cookies and our website
Our website (www.scheunfinancials.co.za) is a brochure-style informational website that provides details about our services. It does not use cookies, analytics or tracking technologies to collect personal information about visitors, and it does not build profiles of those who visit it. Should we add features in future that collect information through the website — such as an online enquiry form or website analytics — we will update this Policy accordingly.
16. Direct marketing
We may send you information about our services by email or other electronic means where the law permits or where you have consented. You may opt out of receiving marketing communications from us at any time by contacting us or by using the unsubscribe function in the relevant communication.
